Email integration allows users to send and receive faxes using email. Received faxes may be received as
emails with the fax image attached as either a TIFF (default) or PDF (requires license). Faxes may be sent
by sending an email with the fax image attached to a special email address that is routed to the fax
server.
New in version 9.0 there is a combined Email Gateway. This replaces both the former POP3 Gateway and
theSMTPGateway.
2.9.1EmailIntegrationusingPOP3
POP3 is typically used when you have an offsite mail server or a mail server hosted by your
Internet Service Provider (ISP). The Email Gateway using POP3 functions much like a desktop
email program such as Outlook. It downloads email from a single mailbox using POP3, and replies
to email using SMTP. The mailbox used for the POP3 gateway must be dedicated for the gateway’s
useonly,sinceitwilldownloadandprocessallmailfoundthere.
2.9.1.1HowtheGatewayOperatesUsingPOP3
Outbound: The gateway periodically checks its mailbox on the mail server for new emails using POP3.
It then downloads them and sends them to the fax server to be faxed. When the faxes complete, the
gatewaysendsanotificationemailbacktothesenderusingSMTP.
Inbound: When a fax is received and routed to email, the gateway emails it to the recipient using
SMTP.
2.9.1.2MailServerRequirements
The mail server must support POP3 and SMTP. SSL is supported for both POP3 (using STLS) and for
SMTP(usingSTARTTLS).
2.9.1.3MailboxRequirements
The Email Gateway requires a dedicated mailbox. The mailbox cannot be used by any other user, since
the gateway will download and process all mail in the mailbox and send them as faxes. Never route
inboundfaxestothismailboxsinceitwillcreateamailloop.
CreateaPOP3Mailbox
Contact your ISP or mail hosting service, or use the interface they have provided to you to
create a POP3 mailbox for the fax server. The ISP or mail hosting service will provide you with
the domain name of their POP3 server and their SMTP server (they can be the same or
different);makeanoteofthemsinceyouwillneedthemlater.
2.9.2EmailIntegrationusingSMTP
SMTP is typically used when you have an onsite mail server. The Email gateway functions much
like an SMTP email server like Exchange, it has a specific domain assigned to it, and sends and
receivesmailusingSMTP.
2.9.2.1MicrosoftSMTPServer
To receive SMTP email, the Microsoft SMTP Server is required. This is available on most Windows
versions(withthenotableexceptionofWindows7).

InstallationoftheSMTPServerfeaturevariesbetweenoperatingsystems.
XP and 2003: Control Panel Add or Remove Programs ⇨ ⇨ Add/Remove Windows
Components. Double click Application Server, doubleclick IIS, then check the box for SMTP
Service.
2008 and 2008 R2: Administrative Tools ⇨ Server Manager ⇨ Features. Click Add Features
andchecktheSMTPServer.
Windows 7: The Microsoft SMTP Server is not available on Windows 7. Please use POP3
instead, or install the Email Gateway on a version of Windows that includes the SMTP Server
